Accountabilities
- Managing the First Impression: Greet visitors, answer calls, and receive deliveries with professionalism to ensure clients and guests feel acknowledged from the first interaction and have a premium experience.
- Maintaining the Workspace: Keep shared spaces clean, stocked, and organized - meeting rooms, kitchen, reception - so the office reflects a premium standard of care.
- Supporting Team Readiness: Anticipate needs, monitor supplies, and reset shared tech to reduce friction and enable focused work.
- Enabling Office Operations: Own the real-time functionality of the office by responding to issues and maintaining a calm, efficient environment.
- Supporting Billing Processes: Prepare and send invoices, track payments, and assist with follow-up to maintain accurate and timely billing.
- Strengthening Financial Coordination: Manage petty cash, coordinate supplier payments, and organize receipts and approvals for bookkeeping.
- Assisting with Projects and Priorities: Provide dependable support with administrative tasks, document handling, and project coordination across the office.
- 2+ years of experience in office coordination, hospitality, professional services, or administrative roles, with exposure to accounting or bookkeeping processes.
- Demonstrated ability to manage office operations with a high standard of organization, cleanliness, and attention to detail.
- Proficiency in Microsoft 365 applications (e.g., Word, Excel) and adaptability to new software. Familiarity with Actionstep is an asset.
- Professional communication skills, both verbal and written, with the ability to interact confidently and courteously with clients, vendors, and colleagues (English Proficiency: C1 or Higher)
- Strong organizational and time management abilities, with a proactive mindset and comfort handling shifting priorities.
- Dependable and autonomous work ethic, with a willingness to take initiative and support team needs without waiting to be asked.
- Ontario resident who possesses eligibility to work in Canada.
